What is employee management software?
It is a tool that brings attendance, leave and permits, expense reports and payslips into one place, instead of sheets, emails and messages. With FatturaSmart employees clock in and send requests from the app, you approve them from the web and your labour consultant receives the data to run payroll every month. FatturaSmart does not calculate payroll: it delivers payslips to employees.
Paper timesheets, leave requested by text, lost receipts?
At month end, rebuilding everyone's hours, finding leave requests and collecting receipts takes time, and every missing detail comes back from the consultant. With FatturaSmart the information arrives in order while the month goes by, and closing becomes a check.

Timesheets with anomalies
Worked, expected, absence and overtime hours for the month. Anomalies (missing exit, inconsistent times, hours outside tolerance) are highlighted; every correction requires a reason.
Leave, permits and sick leave
Approve or reject requests, see balances and set accrual rules. For sick leave the employee only enters the certificate's protocol number.
Expense reports and mileage
Receive expense reports with a photo of the receipt and approve them. For mileage you set the rate per km.
Payslips delivered in one click
Upload the single PDF from your consultant: FatturaSmart splits it per employee, checking tax code and surname. You send them when you want and see who has read them.
Export for your labour consultant
On the 2nd of each month your consultant receives the previous month's summary in Excel by email. You can also download CSV, XLSX or a payroll CSV with mappable codes at any time.

They receive an email invitation and sign in to the FatturaSmart app for iOS and Android with a link, with no password to remember.

With the Max plan you accept the data processing agreement and set schedules, tolerances and your consultant's email.
Add your employees
Enter them or import them from a file, then invite them by email to use the app.
Close the month
Check attendance and requests, close the month and your consultant receives the summary. Then deliver the payslips.
Privacy and workers' rights, taken seriously
Employee data is sensitive: the module is built to process as little of it as possible.
Data processing agreement
The module switches on only after you accept the data processing agreement (GDPR art. 28): you are the controller of your employees' data and FatturaSmart processes it on your behalf.
Read the agreementLocation only when you need it
It is off by default. To turn it on you state the legal basis required by art. 4 of the Italian Workers' Statute (union agreement or Labour Inspectorate authorisation). Location is read only at clock-in, and only whether it was inside or outside the area is kept, never the coordinates.
Tax code, IBAN and protocols encrypted
Tax code, IBAN and the sick-leave protocol number are encrypted. For sick leave no diagnosis or notes are recorded: only the certificate's protocol number.
Every change tracked
Timesheet corrections require a reason, and actions are kept in a log retained for 5 years.

Frequently asked questions
Does FatturaSmart calculate payroll?
No. Payslips are prepared by your labour consultant. FatturaSmart collects attendance, absences and expense reports, sends the monthly summary to your consultant and then delivers to employees the payslips the consultant returns to you as a PDF.
How do employees clock in?
From the FatturaSmart app for iOS and Android, with a single button for entry and exit. The recorded time is the server's, not the one set on the phone; a punch made without a connection is sent on its own when the network is back and keeps the time it was made. Clock-in from a computer or with badges is not available.
Can I use location tracking?
Yes, but it is optional and off by default. To turn it on you must state the legal basis required by art. 4 of the Italian Workers' Statute (union agreement or Labour Inspectorate authorisation). Location is read only at clock-in and FatturaSmart keeps only whether it was inside or outside the configured area, not the coordinates. If the employee denies location access, the clock-in is still recorded.
What does the labour consultant receive?
On the 2nd of each month they receive by email the previous month's Excel file with attendance, summary and expense reports. At any time you can also download a CSV, an XLSX or a payroll CSV with mappable codes. The consultant does not need an account.
How are payslips delivered?
You upload the single PDF prepared by your consultant. FatturaSmart splits it page by page and matches each payslip to the employee by checking tax code and surname; unmatched pages are left for you to assign by hand. When you confirm, each employee receives an email with an access link and finds the payslip in the app; you see which payslips were delivered and which were read.
Can I import employees from Dipendenti in Cloud or Excel?
Yes. You can upload the Dipendenti in Cloud XLSX export or the FatturaSmart CSV template: you see a preview of the data before confirming the import.
How much does employee management cost?
