Validity and expiry reminders

Included in the base plan: business documents are included in the FatturaSmart base plan at no extra cost.

A quote has a limited lifespan: prices and terms hold only until a certain date. FatturaSmart lets you set the validity date and, more importantly, remind the customer that the quote is about to expire — so you don’t lose deals just because the customer forgot.

Setting the Validity Date

Step 1: Open the document

Create or open a document (validity is mainly meant for quotes).

Step 2: Set “Valid until”

In the Valid until field, pick from the calendar the date the quote is valid through.

The validity date can’t be earlier than the document’s issue date.

Sending an Expiry Reminder

For quotes, you can enable an automatic reminder that alerts the customer before expiry.

Step 1: Enable the reminder

Turn on Send expiry reminder to the client. It’s available only on quotes.

Step 2: Set the days in advance

In the Days before expiry field, enter how far ahead to send the alert (a number between 1 and 365, e.g. 7 days before).

Set the validity date first: it’s the reference the reminder send-out is calculated from.

Step 3: Save

Save the document. In the list the quote will show a Reminder active badge: the customer will automatically receive the email the set number of days before expiry.

Sending a Reminder Right Away

Don’t want to wait? You can nudge the customer at any time.

Step 1: Send reminder

From the document, click Send reminder: the email goes out to the customer immediately.

Step 2: Check the status

After sending, the status changes to Reminder sent, so you always know whether and when the customer was notified.
