How to Use the Due Dates Board

Included in every plan: the due dates board is available to all FatturaSmart users at no extra cost.

The Due dates board shows you everything that is about to fall due in one place: invoices to collect or pay, tax deadlines, and personal reminders. You always know how much is coming in, how much you need to pay, and what is already overdue — without a separate spreadsheet.

Opening the due dates board

Click Due dates in the side menu. The page “Everything due: documents, taxes and manual entries” shows by default a period from 90 days back to 365 days ahead; you can change the period dates at any time.

If there is nothing in the chosen period, you’ll see the message “No due dates in the selected period”.

Where deadlines come from

SourceWhat it includes
DocumentsThe payment due dates of invoices and business documents. Installment payments appear as separate deadlines (e.g. Installment 1/3), and partially paid deadlines show the Residual amount still owed
FiscalAutomatically generated tax deadlines: forfettario advances, virtual stamp duty, VAT settlements. See the guide Automatic Tax Deadlines
ManualThe entries you create with Add due date

Two special cases among documents:

  • credit notes appear with their sign flipped compared to invoices;
  • proforma documents are marked with the proforma badge: they are expected amounts, not yet invoiced.

The summary bar

At the top you’ll find the summary for the selected period:

ItemMeaning
IncomingThe total of deadlines in your favor
OutgoingThe total of deadlines to pay
NetThe difference between incoming and outgoing
OverdueThe total of deadlines already past their date
Expected (proforma)Proforma amounts, counted separately

List view and Calendar view

You can switch between two views with the List and Calendar buttons.

List view

Deadlines are grouped by urgency:

  1. Overdue
  2. This week
  3. This month
  4. Later

Calendar view

Deadlines are laid out over the days of the month. Clicking a day shows its deadlines in detail; if the day is empty, you’ll see “Nothing due on this day”.

Filtering the deadlines

Above the list you’ll find the filters:

  • Direction: All, Incoming, or Outgoing
  • Source: All sources, Documents, Fiscal, or Manual
  • Show dismissed: enable this checkbox to also see the deadlines you dismissed

Deadline statuses

Each deadline shows its status:

StatusMeaning
OpenThe deadline has not been paid yet
PartialOnly part of the amount has been paid (the Residual is shown)
PaidThe deadline has been settled
OverdueThe date has passed without full payment
DismissedYou chose to dismiss it; it’s only visible with Show dismissed

Fiscal deadlines whose amount is computed by FatturaSmart also show the estimate badge: to understand how it works, read Automatic Tax Deadlines.

Adding a manual entry

For everything that doesn’t come from invoices or taxes — rent, subscriptions, installments — you can create manual entries.

Use the Add due date button at the top of the page.

Sending a reminder to the client

On the deadlines of documents you issued (money the client owes you) you’ll find Send reminder. FatturaSmart asks for confirmation with “Send the payment reminder?”, indicating the client and document; after sending, the message “Reminder e-mail sent to the client” appears.

Dismissing a deadline

Clicking Dismiss, FatturaSmart asks for confirmation with “Dismiss this due date?”. The deadline will disappear from the list: you can find it again by enabling Show dismissed.

Permanent deletion: if you delete a manual entry, “The manual entry will be permanently deleted”. The operation cannot be undone.

Exporting to Excel

The Export button downloads an Excel (XLSX) file with the deadlines of the selected period: useful for sharing the deadline picture with your accountant or for your own analysis.

Frequently Asked Questions

Which deadlines does the FatturaSmart due dates board show?

The board merges three sources: the payment due dates of documents (invoices and business documents, including installments), automatically generated tax deadlines, and the manual entries you add yourself. By default it shows a period from 90 days back to 365 days ahead.

How do I remind a client who hasn't paid?

From the deadline of an issued incoming document, click Send reminder: FatturaSmart sends a payment reminder e-mail to the client for that document, after a confirmation prompt.

Do invoices paid in installments appear on the board?

Yes: each installment appears as a separate deadline, with its installment number (for example Installment 1/3) and expected date. Partially paid deadlines show the residual amount.

Can I add custom deadlines?

Yes, the Add due date button creates a manual entry with a description, direction (incoming or outgoing), due date and, optionally, an amount, notes, and a PDF attachment. Manual entries can be edited, marked as paid, dismissed, or deleted.

Can I export the due dates board?

Yes, the Export button downloads an Excel (XLSX) file with the deadlines of the selected period.
