Inventory and stock adjustments

Included in the Max plan: Warehouse management is included in the FatturaSmart Max plan at €149.99/year + VAT (which also includes unlimited invoicing, employee management, Sistema TS and public APIs).

Sometimes the system stock doesn’t match what’s actually on the shelf: shrinkage, breakages, imprecise counts. FatturaSmart gives you two tools to bring the numbers back in line:

  • Inventory count – you count the real units and the system works out the difference for you
  • Record movement – you manually enter a load, an unload or an adjustment

Both live on the product’s Stock tab and work one product at a time.


Recording an Inventory Count

An inventory count is the simplest way to correct stock: you state how many units you counted and FatturaSmart automatically records the adjustment needed to reach that value.

Step 1: Open the Inventory count

Open the product, go to the Stock tab and click Inventory count.

Step 2: Enter the counted quantity

The panel shows the System quantity (the currently recorded stock). In the Counted quantity field, enter the number of units you actually have in the warehouse.

As you type, the Difference field shows the live gap against the system quantity:

  • a positive value (e.g. +5) → stock increases by the difference
  • a negative value (e.g. -3) → stock decreases by the difference

Step 3: Add a reason (optional)

Fill in the Reason field to keep track of why you corrected the stock (e.g. “year-end inventory”, “damaged goods”).

Step 4: Confirm

Click Inventory count to save. The Current stock becomes equal to the counted quantity and an Adjustment movement equal to the difference appears in the history.

Tip: use an inventory count when you know the final stock (the units you counted). Use a manual movement when you know the change (how many units came in or out).


Recording a Manual Movement

When you want to enter a change directly, use Record movement.

Step 1: Open Record movement

From the product’s Stock tab, click Record movement.

Step 2: Choose the movement type

Select the Movement type:

AdjustmentApplies a change to the current stock: adds the quantity if positive, subtracts it if negative. It does not set stock to that value.

Step 3: Enter quantity and cost

Enter the Quantity for the movement and, for loads, the Unit cost: FatturaSmart then recalculates the product’s weighted average cost. Add a Reason if useful.

Step 4: Confirm

Click Record movement: stock updates and the movement is added to the history on the Stock tab.

Insufficient stock? If Block oversell is on for the product, a Manual unload or a negative Adjustment that would take stock below zero is blocked with the message “Insufficient stock to perform this movement”.

Does an Adjustment set stock to the value I enter?

No. An Adjustment is a change: the quantity you enter is added to the current stock, or subtracted if it's negative. To bring stock to an exact value, use an Inventory count with the counted quantity.

Which manual movement types can I record?

You can record a Manual load, which increases stock and, with a unit cost, updates the average cost; a Manual unload, which reduces it; or an Adjustment, which applies a change up or down.

Can I count all products at once?

No, inventory counts and manual movements are recorded one product at a time, from each product's Stock tab.
