Low-stock alerts
Included in the Max plan: Warehouse management is included in the FatturaSmart Max plan at €149.99/year + VAT (which also includes unlimited invoicing, employee management, Sistema TS and public APIs).
FatturaSmart tells you when a product is about to run out, so you can reorder in time. It works off the reorder threshold you set on each product: when stock drops to that level or below, the product lands in the warehouse’s Low stock list.
Alerts are in-app only: you’ll find them on the Warehouse page and as the Low stock badge on products. You don’t get emails or push notifications.
Setting the Reorder Threshold
The threshold is configured on the individual product.
Step 1: Open the stock-managed product
Open a product that has the warehouse enabled (see Enable the Warehouse).
Step 2: Set the reorder values
In the Warehouse section of the product card, fill in:
- Reorder threshold – the stock level that triggers the alert
- Reorder quantity – how many units to propose when you reorder with Reorder
Save the product. From now on the product is monitored.
The “Low stock” List
The low-stock overview lives on the Warehouse page.
Step 1: Open the Warehouse
Go to Warehouse: in the Low stock section you’ll find one row per product that has dropped to its reorder level. If all is well you’ll see No products below reorder threshold.
Step 2: Read the row
Each row shows:
| Column | Meaning |
|---|---|
| On hand | The quantity currently available |
| Reorder threshold | The level set on the product |
| Reorder qty | The quantity proposed for the reorder |
| Suggested supplier | The last supplier you loaded the product from, if any |
| Alert | The alert status: Active or Acknowledged |
Reordering in One Click
Step 1: Click Reorder
On the product’s row, click Reorder. A new draft purchase order opens, not yet saved, prefilled with:
- the product to reorder
- the product’s Reorder quantity
- the product’s average cost as the unit price
- the suggested supplier as the recipient, if available
Step 2: Review and save the order
Check lines, quantities and prices, add other products if you need them and save. Then download the PDF and send it to the supplier: the full procedure, including fulfillment tracking, is in the Purchase orders to suppliers guide.
Managing Alerts
FatturaSmart checks stock levels at regular intervals (about every 30 minutes): when a product drops below the threshold it creates an Active alert, and it closes it on its own when stock goes back above the threshold.
Step 1: Acknowledge
On a row with an Active alert, click Acknowledge.
Step 2: Check the status
The alert switches to Acknowledged and the button disappears, so you can tell at a glance which low-stock items are handled and which still need attention.
The alert stays Acknowledged until stock goes back above the reorder threshold, even if other movements happen in the meantime. If stock later drops to the threshold or below again, FatturaSmart creates a new Active alert.

Frequently Asked Questions
How do I make a product show up in the Low stock list?
Set the Reorder threshold on the stock-managed product: when stock drops to that level or below, the product appears in the Low stock list on the Warehouse page.
Do I get low-stock alerts by email or push notification?
No. Low-stock alerts are only visible in the app: in the Warehouse's Low stock list and as the Low stock badge on products. They aren't sent by email or as push notifications.
What happens when I click Reorder?
A new, not yet saved purchase order opens, prefilled with the product, the reorder quantity, the average cost as price and, if available, the suggested supplier. You review it and save it yourself.
What does Acknowledge do?
Acknowledge switches the alert from Active to Acknowledged. The alert stays Acknowledged until stock goes back above the threshold; if it then drops again, a new Active alert is created.
