Automatic Tax Deadlines
Included in every plan: the tax deadlines on the due dates board are available to all FatturaSmart users at no extra cost.
Besides document deadlines, the Due dates board automatically generates your tax deadlines: substitute tax and contribution advances for forfettario users, quarterly virtual stamp duty, and VAT settlements. Tax dates appear in the same calendar as your invoices, with an estimated amount already computed from your collected payments.
Which deadlines are generated
Tax deadlines depend on your regime and your settings:
| Regime | Generated deadlines |
|---|---|
| Forfettario | Substitute tax — 1st advance and Substitute tax — 2nd advance; INPS contributions — 1st advance and INPS contributions — 2nd advance (Gestione Separata); Fixed INPS contributions — 1st installment through 4th installment (quarterly, for artisans and merchants) |
| All profiles | Virtual stamp duty — Q1 through Q4 |
| Non-forfettario (with VAT periodicity set) | Monthly VAT settlement or Quarterly VAT settlement, plus the VAT advance payment |
Social security scheme: the estimated INPS advances apply to the Gestione Separata (they cover 80% of the contributions, split in two installments), while artisans and merchants get the four quarterly installments of fixed contributions. Private fund contributions (e.g. Inarcassa, CNPADC) are not estimated: check them with your fund.
The “estimate” badge
Almost all tax deadlines show the estimate badge: the amount is computed by FatturaSmart, it is not an official figure.
- The estimate starts from collected payments (cash basis): the taxable base is the profitability coefficient applied to what you collected.
- The substitute tax is computed on the taxable base minus deducted contributions, at a 5% or 15% rate according to your settings.
- If you filled in the Previous year tax (€) field, the advances use the historical method; otherwise the forecast estimate based on the year’s collections is used.
The only exception is virtual stamp duty: it is an actual amount, because it comes from the stamp duties actually applied on your invoices.
Automatic stamp duty deferral: as provided by law, if the first quarter’s stamp duty does not exceed €5,000, the payment slides to the second quarter’s deadline (September 30); if the cumulated total of the first two quarters is still within €5,000, it slides again to the third quarter’s deadline (November 30). FatturaSmart applies the deferral on its own: the deferred quarter’s deadline doesn’t appear and its amount is added to the next one. The fourth quarter always keeps its own deadline (last day of February of the following year).
Indicative estimate: it does not replace your accountant’s calculation. Use the estimated deadlines as reminders and orders of magnitude, and always verify the amounts to pay with your accountant.
Configuring the tax settings
The estimates are unlocked by filling in FatturaSmart’s Tax settings.
Step 1: Fill in the forfettario data
If you’re under the forfettario regime, enter:
| Field | Description |
|---|---|
| ATECO code | Optional: suggests the profitability coefficient |
| Profitability coefficient | The percentage of collections that makes up the taxable base |
| Substitute tax rate | 5% (start-up, first 5 years) or 15% |
| Social security scheme | INPS Gestione Separata, INPS Artisans, INPS Merchants, Private fund (e.g. Inarcassa, CNPADC), or None |
| Contribution reduction | None, 35%, or 50% |
| Contributions paid this year (€) | If empty, the estimated contributions are used as deduction |
| Previous year tax (€) | If filled, advances use the historical method |
Step 2: Set the VAT periodicity (non-forfettario)
In the VAT settlement section choose the VAT settlement periodicity: Monthly or Quarterly.
If not set, no VAT due dates are generated in the due-dates calendar.
Indicative VAT estimate: the estimate does not account for deductibility, pro-rata, reverse charge, or credit carried forward between periods. Always verify with your accountant.
Step 3: Check the due dates board
Open Due dates from the side menu and use the Fiscal source filter: you’ll see the generated deadlines with their label (e.g. Substitute tax — 1st advance) and the estimated amount.
Managing a tax deadline
Marking it as paid
When you pay a tax or contribution, use Mark as paid on the deadline: FatturaSmart opens the Mark as paid dialog and asks for the Payment date. The deadline moves to the Paid status.
Dismissing it
If a generated deadline doesn’t apply to your situation, use Dismiss: after the “Dismiss this due date?” confirmation, the entry disappears from the list. You can find it again at any time by enabling Show dismissed.

Frequently Asked Questions
Which tax deadlines does FatturaSmart generate automatically?
For forfettario profiles: first and second advance of the substitute tax, first and second advance of INPS contributions under Gestione Separata, and the four quarterly installments of fixed INPS contributions for artisans and merchants. For all profiles: virtual stamp duty for the four quarters. For non-forfettario profiles with a VAT periodicity set: monthly or quarterly VAT settlements and the VAT advance payment.
What does the estimate badge on tax deadlines mean?
It means the amount is computed by FatturaSmart from your collected payments and tax settings, so it is indicative and does not replace your accountant's calculation. The exception is virtual stamp duty, which is an actual amount because it comes from the stamp duties applied on your invoices.
How are forfettario advances estimated?
FatturaSmart starts from actual collected payments (cash basis): the taxable base is the profitability coefficient applied to what you collected, and the substitute tax is computed on the taxable base minus deducted contributions, at a 5% or 15% rate. If you enter the previous year's tax in the tax settings, the advances use the historical method.
Why don't I see the first quarter's stamp duty deadline?
If the first quarter's stamp duty does not exceed €5,000, the law allows deferring its payment to the second quarter's deadline (September 30); if the total of the first two quarters is still within €5,000, it slides to the third quarter (November 30). FatturaSmart applies the deferral automatically: the deferred deadline doesn't appear and its amount is added to the next one.
Why don't I see VAT deadlines on the board?
VAT settlements and the VAT advance are only generated for non-forfettario profiles that have set the VAT settlement periodicity (Monthly or Quarterly) in the tax settings. If it's not set, no VAT due dates are generated.
I paid a tax: how do I update the deadline?
Open the deadline on the due dates board and use Mark as paid: FatturaSmart asks for the payment date and the deadline moves to the Paid status.
