Bank Reconciliation

Pro and Max plan feature: Bank reconciliation is included in the Pro and Max plans. If your plan doesn’t include it, opening the page takes you to the License page, where you can upgrade.

With bank reconciliation you upload your bank statement and FatturaSmart matches each transaction to the corresponding invoice: you review the proposals and register payments in bulk, instead of recording them one invoice at a time. It works both for income (issued invoices) and for payments (received invoices).

Uploading the bank statement

Step 1: Open Bank reconciliation

Click Bank reconciliation in the side menu.

Step 2: Upload the file

In the “Drag your bank statement here or click to browse” area, upload the file downloaded from your bank. Supported formats are CSV and Excel (.xlsx, .xls), up to 10,000 transactions per file.

Statement already uploaded? If the file was already processed in the past, FatturaSmart warns you and lets you confirm re-uploading it to repeat the processing.

AI and privacy: match suggestions are generated with the help of artificial intelligence. Counterparty names and transaction descriptions are replaced with anonymous codes before being sent to the AI service. Details are in the privacy policy.


Mapping the columns

Every bank exports statements with different columns, so on the first upload FatturaSmart asks you to map the columns: “Tell us which file columns correspond to the required fields.”

Automatic: FatturaSmart remembers your bank’s column mapping. You won’t have to redo it on future uploads.

Click Process: the “Analysis in progress” starts — FatturaSmart compares the transactions with your invoices, which can take a moment.


Reviewing the matches

On the “Review the matches” page you check the proposals, edit or reject matches, then register the payments. Transactions are grouped in three sections:

For each proposal you see the suggested invoice, the amount, the match confidence and the signals that produced it — for example an exact amount, a matching name, the invoice number found in the description, the distance between dates, or a possible duplicate of an already-registered payment.

Checking and correcting a proposal

  • View document opens the invoice details: issue date, due date, collected amount, remaining due and lines, with a button to open the full document.
  • Edit match lets you pick a different invoice: use “Search for an invoice” by number or client, with the remaining due amount shown for every result.
  • Reject discards the proposal: the transaction stays unmatched and won’t be registered.

Registering the payments

Select the transactions to register — one click selects all auto-matched ones — and press Approve & register.

FatturaSmart asks for confirmation with “Register the payments?” and a summary: “N payments totalling X will be registered. This operation cannot be undone.”

This cannot be undone: confirmed payments are registered on the matching invoices with the bank transaction date. Review the proposals before approving.

At the end you see the outcome: all payments registered, or a partial registration with the list of skipped transactions and the reason:

Automatic: every registered payment immediately appears on the invoice and in the Journal, just like a manually recorded payment.

Which bank statement formats can I upload to FatturaSmart?
