Enable the Warehouse and manage stock
Included in the Max plan: Warehouse management is included in the FatturaSmart Max plan at €149.99/year + VAT (which also includes unlimited invoicing, employee management, Sistema TS and public APIs).
Stock management in FatturaSmart is enabled per product. Once you enable a product, FatturaSmart starts tracking its stock, records inbound and outbound movements, and flags it in the Low stock list when stock drops to the threshold you set.
In this guide we’ll see how to enable the warehouse on a product and how to review its stock.
Enable the Warehouse on a Product
Warehouse options live in the Warehouse section of the product card.
Step 1: Create or open a product
Go to Products and click New Product, or open an existing product to edit it. Fill in the basic details (name, description, price and VAT rate).
Step 2: Turn on “Managed in warehouse”
In the Warehouse section, switch on the Managed in warehouse toggle. Only products with this toggle on move stock.
As soon as you enable the toggle, the warehouse-specific fields appear.
Step 3: Set the warehouse parameters
| Field | What it’s for |
|---|---|
| Initial stock | The quantity in stock when you first enable management. It’s recorded as an Initial load movement. It can only be set when you create the product: after that it can’t be changed. |
| Opening unit cost | The unit cost of the initial stock: it becomes the starting average cost. It appears when you create the product with an initial stock greater than zero. |
| Reorder threshold | When stock drops to this level (or below), the product appears in the Warehouse’s Low stock list. |
| Reorder quantity | The quantity proposed when you create a purchase order with Reorder. |
| Block oversell | When on, prevents Manual unloads and Adjustments that would take stock below zero. |
Block oversell doesn’t stop sales: invoices and delivery notes (DDT) always unload the goods, even if stock goes negative. The option only applies to movements you record by hand.
Step 4: Save
Click Save. The product is now managed in the warehouse.
Existing product? If you enable the warehouse on a product you had already created, the Initial stock can’t be edited and stock starts at zero. To load the goods you already have, open the Stock tab and use Record movement with a Manual load, entering quantity and unit cost (see Inventory and stock adjustments).
Review a Product’s Stock
Every stock-managed product has a Stock tab with an up-to-date summary. The tab appears when you open an existing product, next to the details tab.
Step 1: Open the product and go to the Stock tab
From Products, open the product and select the Stock tab.
Step 2: Read the summary
At the top you’ll find the summary cards:
- Current stock – the quantity available right now
- Average cost – the weighted average purchase cost, recalculated on every load
- Inventory value – the value of the stock (stock × average cost)
If stock is below the reorder threshold, the Low stock badge appears, also visible in the product list.
Step 3: Review the movements
Further down you’ll find the Movements table, with the product’s latest movements (type, quantity, unit cost and date). From here you can also Record movement, start an Inventory count or use Export CSV to download the movements.

Frequently Asked Questions
Can I enable the warehouse for only some products?
Yes. The Managed in warehouse toggle is per product, so you can manage stock only for the products you care about. The others don't move stock.
Can I set the initial stock on a product that already exists?
No. The Initial stock, together with its Opening unit cost, can only be set the first time you enable stock management, when you create the product. If you enable the warehouse on an existing product, stock starts at zero: load your goods with a Manual load from the Stock tab.
What is the Block oversell option for?
Block oversell prevents Manual unloads and Adjustments that would take stock below zero. It does not block invoices or delivery notes (DDT): sales always unload the goods, even if stock goes negative.
Can I delete a stock-managed product?
Only if it has no stock movements. A product with movements can't be deleted: turn off stock management and save instead.
